If an e-mail address appears more than once in my list, can EmailMerge identify the duplicates and send only one email to the address?

EmailMerge (Std and Pro) will send the e-mail once to each contact selected when you use the Wizard.

When your contacts are loaded into Outlook, you can select the option to Show Duplicates (there is a checkbox on the EmailMerge Wizard call Show Duplicates. Ticking the checkbox Show Duplicates will display all contacts even if they have the same email address and unticking the checkbox Show Duplicates will remove a duplicate contact based on the email address).

If you want Duplicate email contacts to be excluded from your email merge, then follow the steps below:
  • Start the EmailMerge Wizard and load your contacts data
  • Untick the checkbox Show Duplicates on step of the EmailMerge Wizard that displays the contacts for selection. EmailMerge will now filter out any duplicate contacts on your list.
  • Select the contacts you would like to send the personalized emails to
  • Complete the remaining steps of the email merge.

If you would like EmailMerge to send emails to the same recipient multiple times once the email merge is completed then you would need to do the following:
  • Start the EmailMerge Wizard and load your contacts data
  • Tick the checkbox Show Duplicates on step of the EmailMerge Wizard that displays the contacts for selection. EmailMerge will show all your contacts of your contacts list even if the contacts are duplicates i.e. have the same email address
  • Select the contacts you would like to send the personalized emails to
  • Complete the remaining steps of the email merge.
